Create experiences for events, prepaid menu's or tickets

Learn how to create prepaid experiences and events and update existing ones.

CREATE AN EXPERIENCE OR EVENT

Important: Before you begin, make sure that the Show Experiences function is active.

There are 2 steps required to create experiences and events:

  • Create the experience

  • Make the rules for the experience

1. From DASHBOARD, click the menu icon and then SETTINGS.

2. Click EXPERIENCES and then select ADD EXPERIENCES.

3. Add the Title, Description and upload a PDF Menu if applicable. You can add the title and description in English plus another language.

4. The Price field is required.

  • If the experience or event is not prepaid, put 0 as the price.

  • If you want to show the price without making it prepaid, add the price in the Description or Title field.

  • Any amount over 0 makes the experience or event prepaid.

  • To make a prepaid experience, contact Support for confirmation. Prepaid events and experiences require approval of your financial account.

5. If you're creating an event, select Is this an event.

6. Clicking Private will remove the experience from your booking page. Only guests with a private URL can see it.

6. Press SAVE.

Note: Do not click Active until you've created the Rules for the experience.


CREATE RULES FOR EXPERIENCES AND EVENTS

1. Go to SETTINGS and select RULES.

2. Add the following rules:

  • First rule:

  1. Add the days of the week or dates of the event.

  2. Select the experience (the Title of your event or experience).

  3. Turn Online Booking on.

  4. Scroll down and click Active and SAVE.

  • Second rule:

  1. Add the same days of the week or dates of the event from the first rule.

  2. Add the times that guests can reserve (i.e. 17:00 - 21:00).

  3. Select the meal.

  4. Select the experience.

  5. Turn Online Booking on.

  6. Select the Minimum and Maximum guests per booking.

3. OPTIONAL: Add Max Total Guests, Max Bookings, Duration and Turnaround Time.

4. OPTIONAL: Turn on the No-Show feature to require guests to secure bookings with a credit card.

  • Add the no-show fee per person.

  • If it's your first time using no-show protection, contact Support for confirmation.

5. Select Active and SAVE.

6. Your experience or event is now up!

7. Every rule has to be connected to a policy. When creating a new event, you have to create a new policy. See more below.

Note: If you have specific requirements for each time slot available to book (i.e. every 30 min you can only accommodate 5 guests), reach out to Support.

If you want other experiences/regular bookings closed on the day of the newly added experience, contact Support.


CREATE A NEW POLICY

1. From SETTINGS, click POLICIES.

2. Select Add a New Policy. You must add the Start Date and End Date of the policy. If you're unsure about the end date, select a date as far ahead as you can.

2. After the policy is added, go to SETTINGS, click EXPERIENCES, edit the experience and mark the experience Active.

Now your new experience is available to book online!


EDIT AN EXISTING PREPAID EXPERIENCE

From the EXPERIENCES tab, you can see a list of your experiences.

1. To edit or update an experience, click on the pen icon.

2. In EDIT EXPERIENCE, edit and update the information.


HOW TO ACTIVATE EXPERIENCES IN SETTINGS

1. Go to SETTINGS and click APPS.

2. Under EXPERIENCES, make sure that Show Experiences is selected โ€“ it will be a golden colour. If you skip this, the experience will not be visible to guests.

What happens if you only select Show Experiences?

Guests will only be allowed to choose experiences.
