How to set up rooms and tables

Quick Start Guide: Restaurant Setup

First navigate to your Partner account.

Create Rooms

Rooms can be areas like Bar, Lounge, or Main Dining Room.

Open the side bar menu in the top left corner and choose "Settings"
Go to Rooms → Click Add Room
Name your room
Tick Online Booking if guests can book it
Tick Show Online if guests should see this room
Mark Active and Save
Repeat for each room
Use the pencil ✏️ to edit or drag to reorder

Add Tables

Go to Tables → Click Add Table
Name your table (for internal use only)
Set Min and Max guests
Choose the Room it belongs in
(Optional) Set Priority (higher = booked first)
(Optional) Choose Shape
Tick Active
Tick Book Only in Combination if this table should never be booked alone

How to create your experience content

|| Experiences can be used for special events, creating separate booking flows, or creating gift card packages. Before we can help you set up the booking rules for your experience you need to create your experience content. This article show you how to do so step by step.

||| Important: Remember toggle on "Show experiences" under the Experience section.

Step 1: Create the new experience

Once you have done the above steps we are happy to assist you in setting up the rules for the experience.

How to create a new experience

Other useful information:

The Sort # function allows you to choose the order of your experiences if you work with multiple experiences
Items allows you to select the number of items (extra choices) an experience may have, e.g. a selection of a tasting menu or similar.
Room(s) allows you to sell certain experiences in certain rooms of the restaurant
The preselected date is only useful if you are sell

Close the day (EOD report)

How to Close the Day (End of Day)

This guide explains how to perform the End of Day (EOD) cash up process to close your daily transactions.

Starting End of Day

Click the End of Day icon in the top right corner of the app to begin the process.

Before You Begin

Ensure all payments are tendered - All tables must be closed before starting EOD. The app will display:

Diff amount: The difference between expected and entered amounts (if any)
Cash in Register: Cash start plus current day's turnover

Step-by-Step EOD Process

1. Cash Start

This shows the amount you entered at the beginning of the day
This amount is automatically displayed and cannot be changed

2. Cash in Register

Enter the total amount of cash currently in your register
Press "=" to register the amount in the system
Click NEXT to confirm

3. Deposited to Bank

The app automatically calculates this amount
Formula: Cash in Register minus Cash Start
This is the amount to be deposited

4. Card Payments

Enter the total amount from all credit card payments

| When all amounts are correct, you'll see a confirmation window indicating the balance is adjusted correctly. You can proceed to close the day.

If Balance Doesn't Match

The app will show a mismatch screen with the following information:

How to Create Manual Gift Cards

This guide explains how to create and send gift cards manually through the partner portal.

Log into Partner and navigate to Gift Cards. This page shows all your existing gift cards and allows you to manage them
Start creating a new gift card: Click the Add Gift Cards button
Choose gift card type: Select whether you want to insert an amount (monetary value) or choose an experience (from experiences you've already enabled for online gift card sales)
Enter sender and recipient information (name and email address for both)
Add a personal message (optional). You can include a greeting to be printed on the gift card such as: "Happy Birthday", "Merry Christmas", or any custom message
Choose delivery method: choose the email to sender or recipient or both
Select language: Choose the language (English or your standard default localized language) for the gift card and communication.
Set gift card status. Recommended: Keep status as Cash. This is for internal reporting purposes (not fiscal data)
Click save when all the information is complete. Your new gift card will appear at the top of your gift cards list

This guide explains how to create a booking that requires customers to provide credit card details as a guarantee.

Creating the Initial Booking

Enter booking details

Select the date for the reservation
Add customer name
Enter email address (this is crucial for the credit card request)
Set number of guests

Set booking preferences

Choose table assignment
Select experience type if needed)
Set the time for the reservation

||| OBS! If the no-show fee is based on the experience, it is important that you choose the right experience before proceeding. Example: lunch experience has no no-show fee whereas dinner experiences have a no-show fee. This no-show fee will be set on the experience level. You will not be able to charge the guest's credit card in the case of no-show if this is not selected.

Configuring Credit Card Guarantee

Change booking status

In the booking status section (bottom of the form)
Change from New Booking to Hold (yellow)
This will automatically reveal two new flags

|| Both flags will appear automatically when you change to "Hold" status: First flag: "Do not expire booking" - Leave this untouched. Second flag: "Credit card guarantee" - Leave this untouched
